Coursedog’s Academic Scheduling module provides a centralized platform to plan, build, and manage course schedules. It streamlines scheduling workflows by incorporating course, faculty, room, and student requirements; identifying potential conflicts; supporting scheduling rules and preferences; and providing visibility into schedule quality and resource utilization. The module helps academic departments create optimized, student-centered schedules while reducing manual processes and improving coordination across the institution.

Information and Definitions
Five Phases of Scheduling
There are five phases in Coursedog throughout a term that determine what actions can be performed in the scheduling platform. The phases make up the timeline for the term and can be seen at the top of the Home screen with the dates of when the phase will change. Email notifications will be sent when this change takes place. The current phase is shown in the blue bubble next to "Department Status."

- ADMIN REVIEW - This is a "View Only" phase for all department schedulers. The section dashboard can be viewed and all information for any section, but no edits, additions or cancellations can be made. Requests for changes are not permitted during this phase.
- OPEN SCHEDULING - Department schedulers can freely make any edits, additions or cancellations to sections without having to make requests. This is the phase when most changes to the schedule are to be completed.
- SCHEDULE VALIDATION - After making all the necessary changes during the Open Scheduling phase, department schedulers should now be ready to validate their department's schedule in Coursedog. To validate the schedule, go to section dashboard and click on DEPARTMENTS. Then, under ACTIONS, click on "VALIDATE SCHEDULE." All conflicts will need to be resolved before validating. Next, the validation will need to be approved through a workflow including the Director and Dean. Also, changes to the schedule cn be made during this phase by submitting requests, whether it is before or after validation.
- FINAL SCHEDULE CHANGE REQUESTS - All edits, additions and cancellations to the schedule must be made by submitting requests only. These requests will then need to be approved through a workflow including the Director, Dean and APAP if there is enrollment.
- CLOSURE - This phase takes place at the end of the term. This is also a "View Only" phase where you can view all sections and information but cannot make any changes or submit any requests for changes. All reporting for the term can still be made during this phase.
Room Request Form
Room Request Form is for requesting to use shared space classrooms from the General Classroom Pool. We have provided the link directly on the card to a list of the General Classroom Pool. Only select a classroom from the drop down menu "Preferred Rooms" that is on the General Classroom Pool list on the website (unless sections are meeting together). Select as many classrooms that are suitable, in order of preference. You can also select "Preferred Buildings" or "Preferred Room Capacity." Notice the text dialog box at the bottom of the card for entering other sections that meet with this section.
Instructor Assignments
Instructor assignments are not done in Coursedog. Continue to use the Instructor of Record application to add instructor(s) to the course section. Instructor assignments will be visible in Coursedog the day after being entered in the IoR application.

Instructor Assignment Process Description
Upstream Instructor Assignment Flow (AIS → IoR → SIS)
- Banner AIS: Stores the basic instructor information, including employment details, contracts, and department assignments.
- Instructor of Record (IoR): Serves as the review and verification step. It receives instructor assignment information from AIS, allows academic unit to confirm instructor roles, and checks that assignments meet university policies before sending them forward.
- Banner SIS: Receives the approved faculty assignments from IoR and combines them with student registration information to create the official course roster.
Core Data Flow (SIS → ILP → D2L)
- Ellucian ILP: Watches Banner SIS for updates. When approved faculty and course information is available, ILP sends the updated information to D2L Brightspace.
- D2L Brightspace: Uses this information to create course shells, assign the correct instructor, and add the enrolled students to each course.
Grade Return Flow (D2L → ILP → SIS)
- Final Grades: Instructors enter final grades in D2L Brightspace, and ILP sends those grades to Banner SIS, where they become part of the students’ official academic records and transcripts.

Combined (Co-Scheduled) Sections
When Combining Sections Meeting Together
To ensure accurate classroom assignments and effective use of instructional space, linked course sections meeting together must have enrollment capacities that reflect the anticipated combined enrollment.
For sections scheduled together in the same classroom and at the same time, the sum of their maximum capacities must equal the expected total enrollment. Capacities should be distributed among participating sections so the combined capacity accurately reflects the number of students expected in the classroom.
Example - Four sections meet together with an anticipated total enrollment of 20 students.
- Section A: 5
- Section B: 5
- Section C: 5
- Section D: 5
Total Capacity = 20
Department schedulers and academic units are responsible for:
- Establishing realistic enrollment projections for courses that meet together.
- Distributing maximum enrollment capacities across all combined sections so that the total equals the anticipated combined enrollment.
- Reviewing capacities during schedule development and prior to room assignment processes. Academic departments are expected to maintain enrollment caps that accurately reflect actual space needs.
Exceptions - Requests to exceed the anticipated combined enrollment must be approved through standard enrollment management or scheduling procedures and may require reassessment of the assigned classroom space.
Section Long Title and Text
Section Long Text is for adding a comment or note specific to the section that can be viewed on the schedule.

Section Dashboard
The Section Dashboard is where department schedulers can view the schedule, change terms, add sections and courses, and also perform other useful actions or view valuable information. Terms can be selected from the drop down menu under “Select Term.” Sections and courses can be added by clicking on “+ ADD SECTION” or “+ ADD COURSE” at the top of the screen. There are 4 views for the Section Dashboard: Sections, Courses, Calendar and Departments.
- SECTIONS
- This view shows all sections for the Department(s), including canceled sections. Click on a section to select it for viewing or editing (depending on the phase.) The view of the sections is broken up into pages with 25 sections on a page. You can see which sections you are viewing out of the total number of sections. You can click on “< PREVIOUS” and “NEXT >” to navigate through the sections. You can also scroll up and down as well as left and right.

- The “STATUS” column on the left will show whether the section has any conflicts or not. A green checkmark means no conflicts, while a triangle alert means there is a conflict for the section. The next column, “ACTIONS AND COURSE ANALYTICS,” has 3 selections. The first red trashcan can be ignored because we do not allow sections to be deleted in Coursedog. The blue box can be selected for the course information. The line graph is for course analytics.

- The view of the rest of the columns is a Schoolwide Saved View. This is the default view for everyone at SIU. It is similar to the view of the Schedule of Classes online. The view can be changed in many different ways. Select “FILTER” and this allows sections to be filtered by any of the information listed in any of the columns. Select “COLUMNS” to bring up a drop down menu where you can select or unselect any columns. A blue checkmark will make the column visible, while no checkmark hides the column. Also, the black boxes to the left of the columns that do have a blue checkmark can be dragged up or down with the mouse to arrange the columns in any order. The top of the list is the furthest column to the left. These are some ways you can change the views of the Section Dashboard.

- Once a view has been created by using these tools, the view can be saved. This will be saved only for that specific department scheduler. Multiple views can be saved. To save a view, click on “SAVED VIEWS” in the top right of the screen. Then, click on “SAVE CURRENT VIEW” in bottom left. You are required to give the view a name, and also uncheck the boxes for Year and Semester under “Base Filters” needs to be unchecked. Then click SAVE on the bottom right. The saved view can now be selected in SAVED VIEWS on the Section Dashboard. To run reports from these saved views, simply click on “EXPORT RESULTS” next to “SAVED VIEWS” to export the view into a .csv file.
